BWTS Service Acceptance: Completion Evidence and Punch Lists
Updated
Service acceptance should reconcile each ordered task with its evidence and status. A signed attendance sheet records presence; it does not, by itself, demonstrate completed calibration, successful repair or biological treatment performance.

Key takeaways
- Ordered tasks and completion status
- Instrument and component evidence
- Authorised scope changes
- Open items, owners and next actions
Reconcile work against the order
Use a task register showing completed work, partial work, additional findings and deferred items. Identify equipment tags and supplied parts. Where the scope changed onboard, retain the authorisation and explain its effect on the original deliverables.
Attach task-specific evidence
Calibration records should identify instruments and results; repair findings should describe interventions and subsequent checks. Where independent testing is included, retain the responsible provider's report separately. A generic statement that the BWTS was serviced should not replace the different records required for these activities.
Assign unresolved actions
For every open item, state the responsible party, required decision and proposed next step. Distinguish equipment limitations from unavailable operating demonstrations. Commercial acceptance and operational release should follow the relevant vessel arrangements; neither should be inferred from the technician's departure.
Illustrative procurement scenario
All scheduled instrument work is completed except one device that could not be accessed during the call. The close-out register identifies completed certificates and the remaining task, its reason and next action. The attendance can be commercially documented without suggesting that every listed instrument was calibrated. This distinction is more useful than a single undifferentiated service-complete statement.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Required close-out format, task register, reporting recipients and acceptance responsibilities. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can a service visit be closed with outstanding items?
Yes, if the report accurately records completed work and unresolved actions. Closing an attendance must not misrepresent an incomplete technical task as passed.
