BWTS Calibration Certificates: Reconciliation with the Instrument Register
Updated
Certificate reconciliation checks that each installed instrument has the correct record and that the record describes that device. A folder containing several certificates is not necessarily a complete calibration register.

Key takeaways
- Installed identity versus certificate
- Replacement and tag-change history
- Method, range, results and limitations
- Discrepancies and corrective-action ownership
Match physical and documentary identity
Compare vessel/IMO, instrument tag, manufacturer, model and serial against the installed device. Note replacements and changed tags. A certificate for a removed sensor should remain in the history but should not appear as the current record for its replacement.
Review scope and status
Check the documented method, measurement function, range, date, results and limitations. Distinguish a manufacturer's calibration record from installation or loop-verification evidence where both are relevant. A due-date label alone does not describe which checks were performed or whether an unresolved limitation remains.
Maintain a discrepancy register
Record missing certificates, identity mismatches, incomplete work and unclear due-date bases. Assign corrective actions rather than silently editing original documents. Reconciliation can identify the specific work needed at the next attendance and avoids repeating valid work merely because files were poorly indexed.
Illustrative procurement scenario
A register lists a current tag, but its certificate belongs to a sensor removed during an earlier service. Reconciliation preserves that historical certificate and identifies the missing current-device evidence. The solution is not to edit the old serial number. The fleet arranges the appropriate record or work for the instrument actually installed.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Instrument register, available certificate index and identified record discrepancies. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can an old certificate be renamed for a replacement sensor?
No. Preserve the original identity and obtain the appropriate evidence for the replacement device and any required installed-system checks.
