Vessel schedules and route-assessment inputs
For each ship, provide vessel/IMO number, ports, ETA/ETD, berth or anchorage, agent, due dates and required work. Mark provisional calls and offer alternatives where possible. Add the EC system variant and instrument schedule so travel is considered with technical readiness.
A simple nearby-port list is not enough. Two ships close together may have non-overlapping access windows, unavailable equipment or incompatible task sequences. Conversely, ships in different ports may fit one route if sufficient time and practical travel arrangements are confirmed.

Calibration deadlines and vessel-specific records
The earliest applicable calibration deadline is a constraint, not a target to move for cheaper travel. Manufacturer instructions or abnormal checks may require earlier attention. If route efficiency conflicts with required work, review another call or arrange a separate attendance.
Each ship needs its own results, limitations and agreed calibration certificate schedule. Sharing mobilisation must not mean sharing another vessel's calibration result, skipping a required method or concealing an incomplete task. Keep vessel identity and instrument serials visible throughout the close-out.
Schedule-change management and alternative attendance
Name the ship and agent contacts and identify who confirms changes in berth, ETA, access or scope. A route can be affected by a delayed ship, cancelled joining arrangement or a repair needed before calibration. Those contingencies should be discussed before travel.
