Instrument identity and calibration specification
An annual BWTS visit may involve TRO analysers and supporting instruments, but the certificate needs to identify the devices actually checked. Record vessel, tag, maker/model, serial, location and measurement function. 'BWMS calibrated' is too vague when several channels and different instrument methods are fitted.
Use the applicable instrument procedure, required range and agreed acceptance criteria to define the work. Reagent replacement, a verification check and adjustment are not automatically the same as calibration. The document should state what was performed, not silently convert a smaller task into a broader claim.
Methods, reference materials and traceability evidence
Tell the service team what reporting the vessel needs, including any required reference identification or traceability evidence. Standards, expiry, storage, instrument method and environmental conditions must suit the actual task. Do not promise accredited calibration, universal certificate recognition or an uncertainty statement without the supporting method and evidence.
The agreed record should make the test understandable: date, procedure, reference materials or equipment, range and observations. If a required check cannot be completed, state the limitation and next action. A document without that limitation may appear more complete than the work actually was.
As-found results, adjustments and as-left performance
As-found results describe the instrument before an adjustment or repair. Where intervention changes performance, as-left findings show the subsequent condition. Both can matter when reviewing whether earlier operating data may have been affected by drift or a defect.
Do not erase a failing initial check by recording only the later successful reading. If the instrument remains out of tolerance, the report should state that explicitly. Calibration evidence can support a technical review without falsely closing an unresolved process fault or claiming the ship may discharge.
Calibration intervals and earlier-intervention requirements
The due-date basis comes from the installed equipment's instructions and applicable requirements. Conditions such as drift, contamination, repair or sensor replacement may require earlier work. An annual commercial plan should help scheduling, not replace instrument-specific obligations.
Fleet route savings must respect the earliest applicable deadline. If two ships cannot share a visit without delaying required work, they need separate arrangements or an alternative call. The certificate should show the relevant next-due basis rather than an invented universal one-year rule.
Certificate scope and regulatory distinctions
A Sea Clean calibration certificate records the agreed instrument work and results. It is not a BWMS type-approval certificate, a class or flag approval, a statutory survey or biological proof that discharged water satisfies IMO D-2. Those outcomes concern different evidence and responsible parties.
If the vessel needs biological testing or authority-specific reporting, state that purpose separately in the RFQ. Sampling, qualified testing parties and acceptance requirements can then be reviewed. A TRO reading and an instrument certificate alone cannot answer a biological compliance question.
