CLX Reagent Supply Through Traders: Vessel Handover Requirements
Updated
A trader-to-vessel handover should preserve the exact reagent reference, component contents and relevant handling records through each commercial stage. Rebranding a line as generic TRO chemical can remove information needed for correct onboard use.

Key takeaways
- Original vessel/analyser specification
- Supplier-reference cross-reference
- Product and handling document transfer
- Receipt discrepancy and end-user acceptance
Preserve the original specification
Carry the analyser identity and requested reagent reference from the vessel requisition into supplier enquiries and purchase orders. Identify whether quantities refer to complete packs or individual components. Where a supplier offers a different code, retain the documented relationship and end-user acceptance.
Transfer documents with the goods
Provide the relevant product information, safety documentation and batch/validity details available for the supplied material. Distinguish supplier stock references from manufacturer references. The vessel should be able to identify what arrived without reconstructing a chain of commercial emails.
Separate receipt from technical readiness
Record quantities and condition at handover, and refer mismatches to the responsible supplier. Preparation or installation must follow the applicable product and instrument instructions. Delivery by an intermediary does not eliminate model-specific requirements or turn a consumable order into a service certificate.
Illustrative procurement scenario
A trader's invoice uses an internal stock code while the supplied pack carries the manufacturer's reference. The handover includes the documented relationship and relevant component information. The vessel can reconcile receipt without treating the different commercial code as proof of a wrong item, or assuming compatibility without the supporting reference.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Original reagent requisition, proposed supply references and vessel handover arrangements. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can a trader approve a different reagent pack without the vessel?
The technical substitution should be accepted through the authorised end-user process. Commercial convenience alone is not a compatibility basis.
