Incorrect CLX Reagent Deliveries: Discrepancy and Quarantine Workflow
Updated
An unexplained reagent mismatch should be separated from usable stock until the supply and technical identities are resolved. Do not activate, mix or relabel uncertain material merely to make it resemble the vessel's previous order.

Key takeaways
- Order versus delivered identity
- Condition and documentary evidence
- Written technical disposition
- Separated inventory and replenishment plan
Classify the discrepancy
Distinguish wrong reference, missing component, unexpected pack size, damaged packaging and uncertain validity or handling. Retain the order, packing list, labels and photographs. A different supplier code may be explainable, but the explanation needs a documented connection to the specified product.
Obtain a technical disposition
Request clarification from the supplier and, where necessary, the relevant equipment or product authority. Compare the proposed material with the installed analyser's requirements. The decision should identify whether the shipment is acceptable as supplied, requires replacement or remains unsuitable; it should not depend solely on visual similarity.
Protect operational continuity
Assess usable onboard stock and an appropriate replenishment route under the vessel's procedures. Record the quarantined quantity separately from available inventory. A delivery dispute does not authorise improvised chemistry or changes to required measurement practices.
Illustrative procurement scenario
The delivered pack has an unexplained reference and a component quantity different from the order. The vessel separates it from usable stock and sends labels, packing information and the original specification for review. The technical disposition determines the next step. Activating or mixing the material first would remove useful evidence and introduce unnecessary uncertainty.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Order reference, delivered labels, discrepancy photographs and remaining usable stock. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can an unfamiliar reagent be trialled to see whether it works?
Do not use trial substitution as a compatibility test. Resolve the product identity and applicable instructions before using it in the analyser.
