BWTS Spare Parts: Port-Agent Delivery Instructions
Updated
An onboard delivery instruction should identify the vessel, receiving agent, current port window and the shipment's technical reference. Delivery to a port address is not the same as delivery to the vessel before the required maintenance opportunity.

Key takeaways
- Vessel-linked receiving instructions
- Agent and final handover responsibility
- Shipment references and handling documents
- Diversion and itinerary-change contacts
Define the receiving chain
Record vessel/IMO, port, berth or anchorage, agent contact and the party authorised to receive the shipment. Identify any warehouse stage separately from final onboard receipt. The address and contact should be current when dispatch is arranged, not copied unquestioningly from a previous port call.
Provide shipment information
Include order reference, package identification, quantities and relevant handling documents. Where chemicals, reference materials or other controlled items are involved, use the actual product documentation and applicable transport requirements. Do not infer handling status from a general description such as marine spare part.
Manage itinerary changes
Agree who updates the supplier and agent when the vessel moves. Record diversion decisions and additional logistical implications. Accurate instructions reduce avoidable handling, but an estimated arrival at the agent's warehouse should not be represented as guaranteed onboard delivery or installed readiness.
Illustrative procurement scenario
The shipment reaches the agent's warehouse while the vessel changes berth and its maintenance window advances. The nominated coordinator updates final delivery arrangements and advises the service team. The warehouse receipt remains a valid logistics event, but it is not described as onboard readiness until the actual handover and required receiving checks occur.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Parts list, required onboard date, agent instructions and current vessel itinerary. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Does delivery to the agent complete the vessel's technical requirement?
Not necessarily. Onboard receipt, inspection, installation and verification may remain separate activities after the agent receives the shipment.
