Mixed BWTS Spare Orders: Packing, Certificates and Traceability
Updated
A mixed shipment should allow each received item and document to be traced to a purchase-order line and intended vessel. A single packing list is insufficient if it obscures different references, revisions or document requirements.

Key takeaways
- Order-line and vessel traceability
- Manufacturer/supplier code relationship
- Item-specific document requirements
- Partial delivery and discrepancy records
Maintain line-level identification
Use purchase-order line, manufacturer reference, quantity and vessel allocation consistently across the quotation, packing list and receiving record. Identify partial deliveries. Where the supplier uses an internal stock code, preserve the relationship to the technical item reference requested by the vessel.
Specify relevant documents
List only the documents actually required for the item and intended use, such as instructions, safety information, calibration evidence or material documentation where applicable. Do not demand or invent a generic class certificate for every consumable. Document requirements should be technically justified and included in the order.
Record discrepancies before installation
Separate quantity shortages, reference mismatches and missing documentation. Retain photographs and packaging identification for clarification. An unexplained item should not be assigned to a vessel merely to balance the packing list; the technical and commercial records must be reconciled.
Illustrative procurement scenario
A mixed shipment contains correctly labelled components, but documents are grouped under a single generic order description. Line-level reconciliation connects each required document to its item and vessel. Missing evidence is then requested specifically. This is more effective than accepting all paperwork as relevant merely because it arrived in the same envelope.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Mixed requisition, vessel allocations and document requirements for each item. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Should every BWTS spare arrive with the same certificate?
No. Required documentation depends on the item, method, installation and applicable requirements. Specify relevant evidence instead of a generic certificate label.
