BWTS Spare Parts: Unused Material and Return Conditions
Updated
Return conditions should be agreed before ordering contingency parts. Unused does not automatically mean returnable, particularly for opened chemicals, configured instruments or items with uncertain storage and custody history.

Key takeaways
- Quoted return conditions by item category
- Opening/installation/activation status
- Packaging and storage records
- Authorised return and quantity reconciliation
Distinguish procurement categories
Identify normal stock, special-order components, configured equipment and consumables. Ask the supplier to state applicable return conditions and exclusions in the quotation. This article does not establish a Sea Clean return policy or imply terms that have not been agreed for the actual order.
Preserve item condition and records
Retain packaging, reference identification, relevant batch/expiry details and storage information. Separate items merely delivered from items opened, installed, activated or tested. These events can materially affect suitability for return or subsequent supply.
Close the material account
After attendance, reconcile installed, consumed, retained and proposed-return quantities. Obtain supplier instructions before shipping items back, including applicable transport documents. Require proposed credit, restocking charges and return-freight allocation to be stated in writing. Clear records support a commercial decision and avoid describing a technically compromised consumable as unopened inventory.
Illustrative procurement scenario
A contingency sensor remains sealed, while a reagent component from the same order was opened during diagnosis. Their return requests are assessed separately under the agreed terms and condition records. The fact that neither was ultimately installed does not make their commercial or technical return status identical.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Contingency parts list, expected usage and requested return-condition clarification. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can all unused service-kit contents be returned?
Not automatically. Returnability depends on the agreed terms, item condition, packaging and any handling or validity constraints.
