Annual BWTS Calibration: Purchase-Order Acceptance Criteria
Updated
Acceptance criteria for a calibration order should distinguish task completion from instrument conformity. A properly performed calibration can identify an out-of-tolerance condition; the reporting must not convert that finding into an unsupported pass.

Key takeaways
- Instrument-level deliverables
- Applicable technical criteria
- Out-of-tolerance and incomplete-work disposition
- Record reconciliation and corrective approvals
Define ordered deliverables
Identify the instrument schedule, applicable methods, reporting fields and any agreed adjustment or repair activities. State whether installed functional checks are included. A complete commercial deliverable is the documented work and findings, not necessarily a satisfactory result for every instrument encountered.
Define technical disposition
Specify how failed, incomplete or limited results are reported and who authorises corrective work. Criteria must follow the applicable equipment and procedure rather than an invented fleet-wide tolerance. Preserve as-found findings when adjustments are made and identify the subsequent evidence.
Close the order transparently
Reconcile each instrument with its status, certificate or report, open action and responsible party. Separate invoices for additional authorised work where appropriate. Avoid withholding or rewriting adverse technical findings merely to produce a simpler procurement close-out.
Illustrative procurement scenario
The provider performs the specified method and records an out-of-tolerance result. The order's acceptance process recognises the completed assessment and routes the corrective work for approval. It does not require the provider to change the result to obtain a commercial sign-off. Technical conformity and delivery of an accurate report remain distinct decisions.
Sea Clean service and quotation requirements
Sea Clean services all EC BWTS manufacturers and variants, including annual instrument calibration, calibration certificates, diagnostics and spare-parts support. Sea Clean is an authorised Headway agent; other manufacturers are serviced independently.
Include the following with the email request: Instrument schedule, reporting requirements, technical criteria and corrective-work authority. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Does paying for calibration require every instrument to pass?
No. Calibration establishes and records performance under the method. Repair or replacement may be a separate authorised task when the results require it.
