Ballast-Water Testing: Terminal Changes and Cancellation Planning
Updated
A testing order should explain how berth changes, delayed discharge and cancelled port calls affect attendance and sample handling. A revised vessel schedule can invalidate the original plan even when the destination port remains unchanged.

Key takeaways
- Schedule-sensitive bookings
- Change contact and notification deadline
- Quoted cancellation/mobilisation terms
- Revised operation and sampling scope
Identify schedule-sensitive activities
Map technician travel, terminal access, sampling equipment, laboratory receiving and any surveyor involvement. Establish which activities depend on a fixed discharge time and which can move. A berth change can alter boarding permissions or transport duration without changing the vessel's published ETA.
Agree change-notification responsibilities
Name the person who issues updates and the parties who acknowledge them. Set practical decision points in the quotation or work order. Clear notice allows alternatives to be assessed; it should not be presented as an automatic waiver of provider cancellation or mobilisation charges.
Preserve the technical scope when rebooking
Reassess tank sequence, treatment history and sampling access at the alternative call. The next port may provide a different operational opportunity, not an equivalent replacement appointment. Record revised assumptions and report recipients so a rescheduled attendance remains connected to the original evidence requirement.
Illustrative procurement scenario
A berth change occurs after the sampling team has arranged travel and the laboratory has reserved capacity. The nominated coordinator informs both parties and provides the revised ballast operation. They reassess access and receiving arrangements together. Updating only the transport booking would leave the technical plan and laboratory assumptions unchanged, even though the original sampling opportunity no longer exists.
Sea Clean service and quotation requirements
Sea Clean coordinates ballast-water sampling and testing with appropriately qualified laboratories and service parties. The quotation identifies the analytical provider, method, reporting scope and vessel attendance. Sea Clean is not an accredited laboratory.
Include the following with the email request: Original and alternative calls, current booking commitments and testing objective. Multiple vessels in the same area or along an efficient route can be assessed for shared mobilisation. Prices, component availability and attendance arrangements are stated in the quotation.

Frequently asked questions
Can a test simply be moved to the next port?
Only after the parties assess the new operation, access, laboratory arrangements and applicable requirements. A geographical substitution alone is insufficient.
